    Debt Collector

    About the Role

    • We are seeking a highly motivated and professional Debt Collector to join our Finance team. The role is responsible for ensuring timely recovery of outstanding receivables while maintaining customer professionalism, integrity, and adherence to company credit policies.
    • The Debt Collector will work closely with the accountant – Receivables and Credit Controller to maintain accurate customer accounts, resolve discrepancies, and support the company in achieving its cash flow targets.

    Key Responsibilities

    • Actively follow up on overdue customer accounts through calls, SMS, emails, and field visits to ensure timely debt recovery.
    • Maintain accurate and updated customer contact information and log all collection communications.
    • Follow up on bounced cheques, dishonored payments, and pending postdated cheques, ensuring prompt resolution.
    • Negotiate realistic payment plans with defaulting clients, monitor adherence, and escalate non-compliance where necessary.
    • Collaborate with the Credit Controller to identify high-risk accounts, propose corrective actions, and support the implementation of improved collection strategies and automation tools.
    • Update QuickBooks/ERP systems with all follow-ups, promises to pay, and receipts once payments are confirmed.
    • Work closely with Sales and Customer Service teams to resolve billing, service, or account disputes that may delay collections.
    • Ensure all customer account reconciliations are completed accurately before escalation, closure, or handover to legal teams.
    • Generate weekly collection progress reports, including aging analyses and status of delinquent accounts.
    • Ensure compliance with ETIMS, KRA requirements, and internal audit standards in all receivable documentation and collection processes.
    • Assist in developing customer credit profiles, reviewing payment patterns, and flagging recurring defaulters for management action.
    • Participate in monthly receivables review meetings and present actionable insights on collection performance and account risks.
    • Support legal recovery processes by preparing customer statements, reconciliation documents, and evidence required by external legal or collection agencies.
    • Build and maintain strong, professional relationships with customers to promote timely payments, repeat business, and long-term trust.

    Qualifications

    Education

    • KCSE Minimum Grade B and above is a must.
    • Diploma or Degree in Finance, Accounting, Business Management, or a related field.
    • CPA I or equivalent qualification is an added advantage.

    Experience

    • 2–3 years of proven experience in debt collection or accounts receivable management in a fast-paced environment.
    • Demonstrated success in negotiating payment plans and handling challenging customer interactions.
    • Experience with QuickBooks, ERP systems, and CRM-based collection tools.
    • Familiarity with ETIMS compliance and receivables reporting.

    Skills & Competencies

    • Excellent communication, persuasion, and negotiation skills.
    • Strong time management with the ability to manage multiple accounts simultaneously.
    • Proficiency in MS Excel, QuickBooks, and ERP systems.
    • High professional integrity, emotional resilience, and calm conflict-resolution skills.
    • Customer-oriented approach with respect and professionalism in all interactions.
    • Ability to prepare accurate reports, reconciliations, and collection summaries.
    • Knowledge of credit control and legal guidelines for debt recovery.

    Credit Controller.

    About the Role

    • We are seeking a proactive and detail-oriented Credit Controller to join our Finance Team. The role is responsible for monitoring customer accounts, assessing creditworthiness, managing outstanding debts, and ensuring timely collection of receivables.
    • You will play a key role in supporting healthy cash flow, minimizing credit risk, and building strong customer relationships in line with company credit policies.

    Key Responsibilities

    • Credit Management
    • Evaluate customer credit applications and recommend credit limits as per company policy.
    • Monitor and review customer accounts to identify potential payment challenges or credit risks.
    • Maintain accurate and updated customer credit files and compliance documentation.
    • Collections & Follow-up
    • Work closely with the Debt Collection Team to pursue overdue accounts.
    • Ensure accurate allocation of customer payments against invoices.
    • Communicate proactively with clients regarding outstanding balances, payment terms, and credit issues.
    • Negotiate payment plans or settlements and escalate complex cases to the accountant – Receivables.
    • Reconciliation & Reporting
    • Reconcile customer accounts and resolve discrepancies promptly.
    • Prepare and review debtor aging reports; flag long-outstanding accounts for action.
    • Generate weekly and monthly collection reports, highlighting trends and risks.
    • Support internal and external audit processes with required documents.
    • Advanced (Level 2)

    Responsibilities

    • Develop and implement improved credit control processes and strategies.
    • Analyze debtor performance and recommend account suspensions or recovery actions.
    • Coordinate with Sales and Customer Service to resolve client disputes quickly.
    • Support automation of credit dashboards and monitoring tools.
    • Contribute to policy reviews on credit terms and customer classifications.
    • Train and mentor Debt Collection Officers.

    Qualifications

    Education

    • KCSE Mean Grade B and above
    • Diploma or Degree in Finance, Business Management, or Business Administration.
    • CPA II or equivalent qualification (ACCA, CIMA) is an added advantage.

    Experience

    • Minimum 3 years of experience in credit control, receivables, or debt recovery in a fast-paced environment.
    • Proven experience in credit risk assessment, debt collection, and account reconciliation.
    • Proficiency in QuickBooks and Microsoft Office Suite.

    Skills & Competencies

    • Strong analytical and negotiation skills.
    • Excellent communication and client relationship management.
    • High accuracy and attention to detail.
    • Good understanding of credit risk, reconciliations, and reporting.
    • Proficiency in Excel, QuickBooks, and ERP systems.
