    Tenders Associate - Pharmaceuticals

    Job Profile:

    • Signature Healthcare Limited an ISO 9001:2015, WHO-GDP and a Blue Certified Company that specializes in the importation and marketing of pharmaceuticals is looking for a Tender Associate - Pharmaceuticals to join their vibrant team.

    Job Requirements:

    • You will assist in preparing requests for quotations, drafting accurate quotations, making cold calls to clients as per your work plans, and coordinating with sales personnel to gather orders and issue orders via finance. Additionally, You will be responsible for assisting in monitoring the tender submission process to ensure formatting, completeness, consistency, and compliance.

    Duties and Responsibilities:

    • Drafting of high-quality proposals, quotations, prequalification, and tender answers to ensure that tenders and bids are handled professionally, quickly, and compliantly.
    • Calling all eligible tender sources after submission, communicating with tenderers in case of queries or confirmation of interests amongst other acknowledgments while maintaining a data base of key contacts for follow up
    • To manage and marshal the efforts of all relevant departments relating to tendering/bidding activities and contract reviews
    • Gain knowledge and experience in recording of orders as received from sales personnel or as extracted from reporting platforms and invoicing them after credit control’s approval
    • Make cold calls to active and dormant account clients in regions or territories according to a weekly plan that complements the sales corporate plan with an aim of informing them about offers, pushing slow moving products, collecting stock levels, securing orders and conducting quarterly customer surveys.
    • Maintain a database of all existing clients and key contacts of procurement and accounts updating the list where changes have been applied
    • Ensure customer complaints register has monitored complaints with corrective and preventive actions
    • Maintaining tender files and arranging properly for archiving and easy retrieval following the completion of the tender.
    • Preparing status reports and projected timelines for tenders/pre-qualifications regularly, as needed.
    • Preparing a database of all existing sources of tender/bid opportunities and researching new sources
    • Maintain the tendering standard operating procedures and proposing amendments that would improve efficiency, attract and maintain business
    • Maintaining a list and schedule of eligible tenders, quotations and anticipated local purchase orders for monthly financial projections
    • Call Contacts of the supplied Local Purchase Orders within 2 Days of Dispatch of Goods.
    • Make quality and follow up calls to supplied clients, to check on stock movement for large quantities supplied.
    • Research and Scrap the internet and news outlets for potential business/tenders at least thrice a day
    • Conduct Market Research and Customer Sentiment Surveys of all Clients and submit a report on their disposition and strategies/ counter-strategies for growth
    • Make quality calls to various pre-selected clients across the country to generate interest, lead generation, close the sale and generate repeat business by promoting new offers to the clients
    • Performance of tasks as from time to time given by the supervisor(s) Any other task that may be assigned by the divisional manager and/or the management.

    Minimum Requirements:

    • Educational background includes a Diploma/Degree in a medical related field.
    • Must Have Previous experience in Pharmaceutical Distribution.
    • Experience in sales with a proven enthusiasm for sales and marketing.
    • Practical experience in Tendering processes is a MUST.
