    Front Office Administrator

    ROLE OVERVIEW

    • The Front Office Administrator will be responsible for managing office supplies, handling communication, coordinating meetings, processing documents, and supporting administrative operations under the people and culture department. This role requires excellent organizational skills, attention to detail, and strong interpersonal abilities in a dynamic work environment.

    KEY RESPONSIBILITIES

    • Office Administration & Coordination
    • Manage and track office supplies, fuel, and stationery storage and consumption.
    • Oversee drivers' roster, deployment schedules, and vehicle Export maintenance.
    • Trade
    • Follow up on office maintenance issues in consultation with the Logistics Officer
    • Organize and maintain systematic filing of both election and stics hardcopy records.
    • Track staff travel, leave plans, and team availability to ensure smooth operations.
    • Manage administrative functions for the people and culture department le scheduling interviews, planning for work events etc Reception & Communication Management
    • Receive visitors professionally and direct them appropriately. Answer and forward calls efficiently and professionally.
    • Coordinate meeting arrangements and hotel bookings for guests.
    • Record and prepare minutes from staff meetings.
    • Provide administrative support in preparing, formatting, and printing documents.
    • Procurement & Documentation
    • Coordinate supply chain and procurement processes to ensure timely and quality service delivery.
    • Track orders and follow up to ensure timely deliveries.
    • Maintain updated records of suppliers, customers, and office assets. Review supplier contracts and agreements for terms and conditions.
    • Billing & System Updates
    • Update and upload bills in the TRAKIT system.
    • Verify data entry accuracy for billing and financial records. Ensure carrier charges are secured and validated.
    • Update weighing slips in the TRAKIT system for the CSU department. General & Ad-Hoc Responsibilities
    • Assist in asset handovers to new staff teams.
    • Orient and handle human resource administrative function
    • Perform any other duties assigned by the Branch Manager Qualifications & Experience

    Education

    • Diploma or Bachelor's Degree in Business Administration, Office Management, or a related field.

    Experience

    • Prior experience in front office administration, human resource administration, procurement, logistics, or office coordination is an added advantage.
    • Familiarity with TRAKIT or similar operational systems is desirable.

    Container Control Executive

    ROLE OVERVIEW

    • The Container Control Executive will oversee container movement from port exit to client delivery, ensuring accurate documentation, timely repositioning, and compliance with shipping requirements. This role requires strong analytical skills, attention to detail, and the ability to coordinate with multiple stakeholders in a fast-paced logistics
    • environment.

    KEY RESPONSIBILITIES

    • Container Tracking & Monitoring
    • Monitor containers from port ext, border crossing, and delivery to client premises, ensuring timely repositioning at depots
    • Supervise and conduct joint surveys for damaged containers at the port or depots.
    • Continuously check container interchanges (EIR) and match them with physical conditions, escalating discrepancies
    • Track empty container pick-up readiness and push for truck allocation and loading from destination ICDS.
    • Liaison with Shipping Lines & Depots
    • Coordinate with shipping lines to update applicable free days and demurrage rates
    • Follow up and verify demurrage invoices before distribution with the Customer Service team.
    • Maintain strong working relationships with shipping lines, transporters, and depots.
    • Process authorization for depot changes for rejected containers or upon client request
    • Documentation & Billing
    • Process and validate guarantee forms in a timely manner.
    • Promptly update and generate empty container status reports from the TRAKIT system.
    • Conduct daily account reconciliation and ensure prompt settlement of outstanding charges with shipping lines
    • Process applicable container deposits and follow up for timely refunds.
    • Customer Communication & Issue Resolution
    • Promptly communicate with Customer Service and clients on potential or accumulated demurrage.
    • Provide shipment details and guidance to customers, ensuring smooth logistics processes.
    • Address and escalate container-related issues for swift resolution.
    • General & Ad-Hoc Responsibilities
    • Perform any other duties assigned by the Branch Manager.

    Qualifications & Experience

    Education:

    • Bachelor's Degree in Business Administration or Logistics Management.
    • Diploma in Customs Clearing & Forwarding.
    • Certificate in East Africa Customs Freight Forwarding Practicing Certificate.

    Experience:

    • Knowledge of customs clearing and forwarding is an added advantage. Experience in dealing with shipping lines and depots.
    • Familiarity with TRAKIT, Cargowise, or similar operations systems is desirable.
