    Pharmaceutical Stock Controller

     Job Purpose

    The Stock Controller is responsible for receiving pharmaceutical products, documentation, and monitoring inventory levels to ensure the continuous availability of medical supplies. The role focuses on timely stock replenishment, reducing wastage from expiry or overstocking, and ensuring adherence to hospital inventory management policies.

    Main Duties and Responsibilities

    • Receive, inspect, and verify all delivered items against purchase orders and delivery notes.
    • Generate the goods received notes, invoices and other documents.
    • Apply First-In-First-Out (FIFO) and First-Expiry-First-Out (FEFO) principles to reduce wastage.
    • Issuing drugs to the dispensing pharmacy.
    • Proactively initiate timely reorder requests based on consumption rates and stock thresholds.
    • Conduct regular physical stock counts and reconcile with recorded inventory balances.
    • Promptly report any stock variances, slow-moving items, or identified losses.
    • Ensure proper storage conditions are maintained, including adherence to cold chain requirements where applicable.

     Minimum Requirements/ Qualifications

    • Diploma in Pharmacy from a recognized institution.
    • Valid practicing license.
    • Training in Procurement, stock management, supply chain or Stores Management.
    • Minimum 1–2 years of experience in a hospital or health-related stock management role.
    • Familiarity with ERP or inventory management systems.

    Pharmaceutical Technologist

    Job Purpose

    To compound, dispense and handle pharmaceutical supplies for all orders/prescriptions as well as educate patients about their medications while providing effective pharmaceutical supplies to meet customer needs.

    Main Duties and Responsibilities

    • Verify prescriptions and dispense drugs in a timely manner and within approved standards and procedures.
    • Check that every label placed on the medication contains the correct patient’s name, drug, quantity and directions.
    • Compound medication through mixing, counting pills and labeling bottles as needed.
    • Counsel patients on drug administration for optimum wellness and recovery.
    • Comply and observe the environmental health and safety measures and regulations by proper handling, storage and dispensation of medications.
    • Record, monitor and update the expiry list of medications in timely manner.
    • Maintain and update personal drug knowledge database to ensure provision of pharmaceutical care of general disease states as well as specialized knowledge in the assigned area of expertise.
    • Consistently check and complete documentation of all patient accounts, records and files, interventions, incidents and other records kept in the department.
    • Monitor that the variance levels in your stock-team are kept to a minimum and medication is always available.
    • Compile monthly satellite reports.
    • Carry out a quarterly stock-take exercise.
    • Report any special indicators allocated.
    • Participate in educational activities and departmental meetings.
    • Complete any other duties as may be assigned by the pharmacist or manager.

    Minimum Requirements/ Qualifications

    • Diploma in Pharmaceutical Technology from a recognized institution.
    • At least 2 years’ relevant working experience.
    • Computer literacy and experience with stock management software.
    • Registered with the Kenya Pharmaceutical Association or a relevant Pharmaceutical Regulating body.
    • Valid Practicing license from the Pharmacy and Poisons Board.

    Clinical Services Coordinator

     JOB PURPOSE

    Reporting to the Medical Director the Clinical Services Coordinator will be responsible for coordinating and facilitating the smooth delivery of medical services across the hospital by supporting clinical operations, ensuring effective communication between departments, managing doctor documentation, and assisting the Medical Director in administrative and operational duties. The role is key to enhancing patient care, clinical efficiency, and compliance with regulatory and hospital standards.

    MAIN DUTIES AND RESPONSIBILITIES

    Clinical Operations Support

    • Coordinate daily clinical activities across departments to ensure efficient service delivery.
    • Liaise with medical staff to resolve scheduling conflicts and patient flow issues.
    • Support implementation of clinical protocols, policies, and quality standards.
    • Monitor patient turnaround times and assist in addressing bottlenecks.

    Doctor & Consultant Management

    • In liaison with the Medical Director, ensure all visiting and resident consultants are fully compliant with legal, regulatory, and hospital policy requirements (e.g., licensure, indemnity, registration, contracts).
    • Streamline and maintain up-to-date documentation for all consultants, ensuring timely renewal of licenses and relevant professional certifications.
    • Develop and manage a centralized database of all visiting and resident consultants, including specialty, availability, contracts, and compliance status.
    • Coordinate onboarding, orientation, and scheduling of new consultants in collaboration with relevant departments.
    • Ensure adherence to hospital protocols by all consulting physicians, including documentation standards and patient handover procedures.

    Administrative Support to Medical Director

    • Prepare reports, minutes, presentations, and correspondence on behalf of the Medical Director.
    • Track implementation of clinical improvement plans, audits, and strategic initiatives.
    • Coordinate internal meetings, medical staff briefings, and departmental reviews.

    Interdepartmental Liaison

    • Serve as the communication bridge between medical departments, nursing, pharmacy, laboratory, and administration to ensure alignment in service delivery.

    Patient Experience & Service Quality

    • Monitor patient feedback relating to medical services and escalate issues requiring clinical input.

    Compliance & Documentation

    • Maintain updated documentation of clinical policies, departmental workflows, and staff duty rosters.

    Project Coordination

    • Participate in special projects or hospital-wide initiatives led by the Medical Director.

    MINIMUM REQUIREMENTS/ QUALIFICATIONS

    • Bachelor’s Degree in Healthcare Management, Nursing, Clinical Medicine, or a related field.
    • Minimum 3–5 years’ experience in a hospital coordination, clinical operations, or healthcare administrative role.
    • Prior experience coordinating medical staff or consultants is a strong advantage.

    Medical Care Assessor

    Job Purpose

    To review, assess and evaluate the medical care provided to patients to ensure appropriateness, cost-effectiveness, and adherence to clinical standards and policy guidelines. The role ensures that patient care meets the expected quality and complies with payers or regulatory requirements.

    Main Duties and Responsibilities

    • Ensure discharge TAT of less than 2 hours by assessing all patient medical records, treatment notes, and diagnostics results realtime to verify the necessity and appropriateness of care.
    • Review inpatient and outpatient care and documentation for clinical accuracy and justification including diagnosis and insurance exclusions.
    • Ensure treatments procedures comply with clinical guidelines.
    • Evaluate insurance claims for completeness and correctness before approval.
    • In liaison with care manager, liaise with insurance companies and other payers on clinical queries.
    • Daily ward rounds to monitor standards of care delivered across different departments.

    The Senior Procurement Officer will be tasked with managing the procurement of goods and services, ensuring timely delivery, cost efficiency, and compliance with company policies.
