    Psychosocial Counsellor

    Main tasks

    • Provide comprehensive psychosocial counseling to school going children and or parents of FCA targeted communities.
    • Provide assessment, individual and group counseling sessions to school going children/youth.
    • Sensitize, problem solve, dialogue and mediate with the wider population about specific issues of concern
    • Ensure child safeguarding guidelines and ethical practices are observed, adhered to including coordinated referral pathways in Kakuma/Kalobeyei.
    • Assist in the designing, planning, implementing and facilitating training for numerous target groups
    • Develop new and strengthen existing referral systems with other organizations.
    • Engage in quality self-care through supervision, debriefings, and other shared sessions especially for the adolescent girls.
    • Complete quarterly reports and progress notes shared only to relevant teams.
    • Assist teachers in the development and implementation of psychosocial counselling programs in school communities.
    • Disseminate information concerning psychosocial counselling services available for the refugee communities
    • Monitor learner’s progress and make informed, timely educational decisions.
    • Perform other tasks and assumes other responsibilities as assigned by supervisor.
    • Conduct regular visits to project sites to collect and verify data for preparation of regular and ad hoc program reports and briefs to immediate manager.
    • Represent FCA with external stakeholders as requested (inter-agency coordination meetings, working groups) and influences the shape of broader sector strategies.
    • Take steps to document lessons learned, from the Education program including that of partners for wider dissemination.
    • Coordinating and providing psychosocial counselling services to all learners, teachers and community members in Kalobeyei settlements in minimizing impact of COVID-19 and other epidemics in Kalobeyei settlements.

    Qualifications

    • A diploma/degree in Counselling, Social work/Community development, Psychology or a higher diploma in Counselling with a minimum of 2 years in related work experience
    • Experience in the provision of psychosocial services to refugees’ /asylum seekers is an advantage
    • Good report writing and communication skills
    • A team player with ability to work independently with minimal supervision
    • Ability to maintain professionalism in services delivery and ethics
    • Highly motivated, creative, and compassionate person who is dedicated to ensuring that models of best practice are utilized.

    Administration Assistant Officer

    Primary purpose of the position:

    Act as the point of contact for all employees by providing administrative support and managing their queries. Manage the day to day administrative duties in the office while assisting in general HR & administration work in the areas of office management, Personnel management, Performance management and staff development that are necessary to maintain a skilled and competent workforce at field level.

    Duties and responsibilities

    General Office Management

    • Managing office supplies and ordering new supplies as needed.
    • Systematically filing important organization documents.
    • Oversees and administers the day-to-day activities of the office; develops policies, procedures, and systems which ensure productive and efficient office operation
    • Ensure the field office is clean and tidy and all basic facilities are available for staff to work in a comfortable environment.
    • Schedule in-house and external events٫ maintain corporate calendar and book meeting rooms.
    • Manage correspondence (including letters٫ emails and packages)٫ arrange travels and accommodations
    • Scheduling meetings and booking conference rooms.
    • Hiring maintenance vendors to repair or replace damaged office equipment.
    • Oversee the inventory of office and stationery supplies and ensure to request order when necessary
    • Build and maintain filing systems, both physical and digital.
    • Organize a filing system for important and confidential company document
    • Manage office supplies stock and place orders
    • Support with travel and accommodation bookings and airport transfers for staff / visitors in liason with Nairobi Office.
    • Organize and schedule meetings/appointments as may be required.
    • Take accurate minutes of meetings and ensure their distribution and filing.
    • Maintain staff movement register and follow up with locations and movement of staff, inform supervisor in case of non-adherence.
    • Ensure all office equipment such as Air Conditions, Water Dispensers, Photocopier, Printers, telephones etc. are in good operational state.
    • Maintain good communication with visitors/guests, office and project staff, service providers and consultants.

    HR Records & Information Management

    • Ensure quality and integrity of HR filing system by keeping all HR records, information and files clearly labelled, organised and confidential.
    • Maintain staff personal files in the field office and ensure that all files have up to date information.

    Recruitment & Selection

    • Draft advertisements for authorised recruitments in liaison with supervisor ensuring FCA guidelines and recruitment practices are followed.
    • Assist to facilitate advertising/circulation of advertisements on various platforms as agreed with Supervisor.
    • Assistant to arrange for and coordinate interviews (date of interviews, calling short-listed applicants).
    • Ensure records of all recruitment and selection processes of employees are correctly filed.

    HR Support Services

    • Assistant to draft employment contracts for staff and draft requested letters in line with changes to employee terms and conditions of employment.
    • Support implementation of induction and orientation of both new and existing employees, ensuring that all relevant policy documents are made available.
    • Respond to general staff queries and advise them on FCA’s HR policies and procedures and local legislative requirements, seeking advice from supervisor & HR & Admin Coordinator.
    • Undertake any other duties and generate HR Admin reports as part of capacity building within the department.

    Competence, Experience, Skills, Knowledge needed

    • A Bachelors Degree in Business Management / Administration or related discipline ie Human Resourse, Social Sciences, Social Work and Social Administration, Public Administration, etc.
    • Excellent planning and organizational skills
    • Strong analytical and problem solving skills
    • Good communication, facilitation and presentation skills. Strong interpersonal skills and high level of integrity
    • Experience in refugee operation will be an added advantage
    • Computer literacy
    • The position involves making timely decision under pressure and also involves high level of integrity, due to care and caution.

    Finance Assistant

    Primary purpose of the position:

    The Finance Assistant will facilitate efficient and effective financial operation in the FCA field office. Ensure compliance with FCA financial standard operating procedures and regulations alongside donor policies, procedures, guidelines and rules.

    Duties and responsibilities

    Main tasks

    • Overall quality control of FCA’s finance management
    • Petty cash recording and management
    • Recording financial transactions in UNIT 4
    • Filing of finance documents
    • Record accounts payable and accounts receivable
    • Collecting and reviewing data for reports.
    • Processing invoices, issuing cheques, and updating the organization’s financial records.

    Special tasks

    • In accordance with FCA & donor policies and guidelines to assist in managing finances in the field Office.
    • Assist in making all payments, process approved payments of supplier / service provider invoices on the basis of complete documentation for bank and cash.
    • Be responsible for all field cash transactions, physically makes payments in the field /or follow up closely on proper accountabilities for all field cash expenditures.
    • Accurately prepare the necessary documents, compile source documents and submit complete documentation daily for postings of all the paid transactions in the cash book.
    • Ensure that all advances are appropriately accounted for within reasonable time and that any travel advances are made in line with the FCA financial regulations.
    • Undertake financial monitoring visits to the field to help ensure quality is maintained in all aspects of financial management.
    • Responsible for banking activities.
    • Ensure the safeguarding of all available funds under her control
    • Maintain financial files (physical and soft copies) and records
    • Take part in procurement of goods/services and ensure adherence to FCA/Donor Regulations.
    • Other tasks may be given by the supervisor related to the position upon mutual consultation.

    Competence, experience, skills, knowledge needed

    • University degree or equivalent in accounting, finance, Business Administration or other closely related field .
    • Accountancy and Administration skills.
    • Strong analytical and Computer skills.
    • Ability to work effectively and harmoniously in a team with varied cultures and professional backgrounds with minimal supervision.
    • Good communication and interpersonal skills.
    • Knowledge of English as a working language.
    • UNIT 4 Knowledge.
    • Minimum 2-4 years of experience in a similar position.
    • Knowledge of working in challenging environments.
