    Lead Document Controller

    Lycopodium is currently recruiting for a Lead Document Controller to join our growing Document Control team in Yamfo, Ahafo North. 

    Reporting to the Special Field Engineer the Lead Document Controller will be responsible for leading and managing various aspects of document control, including the receipt, storage, retrieval and circulation of documents, review coordination, external submission, and distribution control.

    The tasks you'll perform

    • Lead, monitor and control project document transmission from preparation to archive in accordance with Company, Client, and regulatory standards.
    • Control, coordinate and distribute all project documentation and data in a timely and efficient manner to meet project demands, requirements, and schedules.
    • Lead and ensure the accurate uploading, logging, filing & distribution of project related documentation.
    • Register and file all relevant project documentation in accordance with the Company approved procedures, including archiving, scanning, filing or photocopying if required.
    • Ensure the timely distribution of controlled documentation to all internal and external parties.
    • Document Status report preparation and issue as required

    The expertise you'll bring

    • Demonstrate an ability to work autonomously and collaboratively with colleagues across all business units.
    • Organize document receipt, registration, copying, distribution, Workflow, and transmittal as dictated by the project/program requirements
    • Developing, maintaining and timely expediting of Project and Program document control reporting, requirements, and procedures
    • Check, validate and verify all documentation, to ensure correct numbering, revisions, status, formats, titles, and legibility.

    Working Conditions:

    • Site based.
    • Working hours are 6 days a week, 8 hours per day, from Monday to Saturday, 7am to 4pm daily and 5 hours on Saturdays from 7 am to 1pm. Note that any additional hours required to work would be paid for.
    • 23/5-day roster.

    YOUR TRAINING, SKILLS & EXPERIENCE CHECKLIST

    •  Diploma or equivalent experience in Business or Administration is desired.
    • Document Control Software Applications & Function - Traceability of Changes
    • Data Management – Reviews / Workflows / Expediting / Closeout - Audit Control
    • Quality Management – Documents, Registers, Databases, Transmittals - MS Office
    • Revision Control -Typing and data entry
    •  Proficient in the use of Microsoft Office Suite Package.
    • A minimum of 3 continuous years’ experience in document control
    • Experience working in an EPCM environment
    • Well-developed written and verbal communication skills.
    • Solid supervision skills
    • Have an Eagle’s eye for details.
    • Deadline Driven.
    • Leadership.
    • Ability to work well under pressure
