    Front Office Operations Assistant

    Job Description:

    The Operations Assistant is an entry-level role responsible for primarily managing the front desk operations, attending to clients at the banking hall. In addition, the person will handle other operational processes done in coordination with the wider Transaction Services team. The overall objective is to provide excellent customer service and operational processing in a fast-paced environment while focusing on, service, quality, attention to details, accuracy and controls.

    Responsibilities:

    • The major objective of this position is to create a bridge between the bank by providing exceptional customers service to all customers especially the in-person ones, in the banking hall.
    • Offer customer service assistant to customers in the banking hall
    • Resolution of enquiries like statement balances and printing of statements for customers and logging in investigative enquiries for resolution
    • Cheque book request and custody including issuance of the same to customers
    • Daylight custody of documents, bankers’ cheques/drafts and issuance of the same to customers
    • Receiving of customers instructions, scanning and forwarding to the relevant departments accordingly
    • Assist with back-office operational processes and reconciliations
    • Ordering of stationary for the department and ensuring adequate supply of Bank stationary
    • Ensuring that the banking hall is neat and tidy at all times and exchange rates are changed daily and in a timely manner
    • Apply basic technical knowledge to ensure efficient customer service that meets quality standards
    • Perform job duties by following detailed procedures or explicit instructions under direct supervision
    • Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behavior, conduct and business practices, and escalating, managing and reporting control issues with transparency.

    • Attention to detail

    • Ability to handle pressure.
    • Speed and accuracy.
    • Familiarity with the processing systems

    • Be alert on frequent changes in Government regulations, Bank policies and procedures due to restructuring.
    • Ability to handle large volumes.
    • Flexibility and adaptability to change.
    • High volumes of transactions which require more time to process
    • Due diligence is required at all times to ensure that documentary procedures are adhered to as per the banks regulations.

    Clearing Operations Assistant

    Job Description

    The Role involves clearing operational processes for both outward and inward clearing. Meticulous transaction processing is the principle purpose of this job given the sensitive nature of the Clearing function Liaising with other commercial banks and the Central Bank as well as solution providers is also a requirement for the job in ensuring that collection and payment services are performed efficiently and effectively. The incumbent will also be involved in projects from time to time especially due to the constantly changing environment towards automation , upgrading of clearing systems and simplification of processes.

    Responsibilities:

    • The incumbent is responsible for ensuring that transactions are processed accurately, timely and in line with Citibank’s policies and Kenya Bankers’ Association’s requirements.
    • Frustration of fraud attempts is also a key factor in the execution of this job.
    • The incumbent is also responsible for the following tasks:
    • Post- dated checks booking and Liquidation
    • Receiving Cheques and Collections from our customers.
    • Reconciliation of Clearing Accounts
    • Imaging Outward cheques and amount Input
    • Preparation and Upload of outward cheques and commissions batches.
    • Sweep Processing i.e. transferring balances from customer’s collection accounts to the respective main accounts.
    • Sorting all outward cheques received for the day into the various banks
    • LCY and FCY image review
    • Moving items in orbiflow on clearing queue
    • Timely Query Resolution and support to both Internal and External customers
    • Back up for preparation of alteration letters to our customers
    • Back up for scanning and filing of documents

    Skills & Knowledge:

    • Good analytical skills
    • Experience in clearing operation is an added advantage
    • University Degree
