    School Accounts Receivable Intern

    • The Accounts Receivables Intern will be responsible for managing all aspects of the school's accounts receivable functions.
    • This includes ensuring accurate and timely billing, tracking and collecting payments, maintaining records, and providing detailed reports on receivables.The role is essential for maintaining the school's cash flow and ensuring financial stability.

    Job Description

    • Prepare and issue accurate proforma invoices for tuition fees, extracurricular activities, and other school-related charges per learner
    • Generate invoices accordingly when learners report to school.
    • Ensure that billing is completed within two working days of a learners’ reporting and in accordance with the fee schedules.
    • Initiate caution money refunds in line with the school’s administration standards and finance policies and procedures.
    • Monitor, record and track payments from parents and guardians. Issue (email) receipts for each payment received.
    • Implement efficient collection processes to ensure alignment with the Fee Policy.
    • Handle and resolve billing and receipt discrepancies and disputes.
    • Reconcile accounts receivable ledgers weekly to ensure that all payments are accounted for and properly posted and prepare a weekly report.
    • Ensure the MPESA paybill control account is balanced and reconcile any discrepancies between bank deposits and accounting records, daily.
    • Maintain accurate and up-to-date records of all receivable’s transactions.
    • These include scanned copies of breakages forms, book replacements, and any other relevant forms.
    • Ensure the scanned copies are well labelled and stored in the provided Drive folder.
    • Ensure all financial records are stored securely and comply with data protection regulations.
    • Prepare and present (on a weekly basis) detailed reports on receivables and reconciliations including aging reports, collection rates, and outstanding balances.

    Job Requirements

    • Bachelor’s degree in Accounting, Finance, or related field.
    • Atleast CPA 1 or ACCA qualification (or equivalent) is required.
    • Minimum of one year experience in an equal capacity, (experience in a school setup will be an added advantage).
    • Strong knowledge of accounting principles, practices, and regulations.
    • Proficiency in Quickbooks added advantage.·
    • Proficiency in accounting software and Microsoft Excel.·

    • Plan, schedule, and oversee daily dispatches to customers, retail stores, and distribution points.
    • Verify that all goods prepared for dispatch match customer orders and internal requisitions.
    • Ensure proper packaging, labeling, and documentation for each order.
    • Track dispatch timelines to ensure timely deliveries.

    Coordination & Logistics

    • Work closely with production, warehouse, and sales teams to confirm order status and dispatch readiness.
    • Liaise with drivers, riders, or courier companies to allocate delivery routes efficiently.
    • Monitor delivery progress and resolve any issues related to delays or misroutes.

    Documentation & Reporting

    • Maintain accurate dispatch records, delivery notes, invoices, and stock movement logs.
    • Prepare daily/weekly dispatch reports for management.
    • Ensure all returned goods or delivery exceptions are documented and addressed promptly.

    Inventory Oversight

    • Collaborate with the warehouse team to monitor stock availability and reconcile dispatch quantities.
    • Conduct periodic spot-checks on goods prepared for dispatch.
    • Assist in monthly or quarterly stock takes.

    Quality & Compliance

    • Ensure all products leaving the facility meet quality and packaging standards.
    • Uphold safety and SOP compliance in all dispatch operations.
    • Train and supervise dispatch staff, ensuring efficient and professional workflow

    Job Requirements

    • Diploma or Degree in Supply Chain Management, Logistics, Business Administration or related field.
    • 2–4 years’ experience in dispatch, warehouse, logistics, or production operations.
    • Strong knowledge of dispatch planning and inventory systems.
    • Excellent organizational skills with high accuracy and attention to detail.
    • Proficient in MS Office and basic ERP or stock management systems.
    • Strong communication and team leadership abilities.

    Stores Assistant

    We are seeking a reliable and detail-oriented Store Assistant to support daily store operations within the production facility. The successful candidate will help receive, record, store, and issue materials while ensuring accuracy, proper stock management, and compliance with company procedures.

    Job Description

    Stock Receiving & Recording

    • Receive incoming raw materials, finished goods, and supplies.
    • Verify quantities, quality, and documentation (delivery notes, invoices).
    • Record stock accurately in the system or stock cards.

    Stock Storage & Organization

    • Arrange and label materials appropriately within the store.
    • Ensure proper storage conditions based on product type.
    • Keep the store clean, organized, and compliant with safety standards.

    Issuing & Dispatch Support

    • Issue materials to production teams as per approved requisitions.
    • Update stock records immediately after issuing.
    • Assist with preparing items for dispatch when required.

    Inventory Monitoring

    • Track stock levels and report shortages, damages, or variances.
    • Participate in weekly and monthly stock counts.

    Documentation & Reporting

    • Maintain up-to-date stock cards, bin cards, receipts, and issue records.
    • Prepare simple daily/weekly reports for the Store Supervisor.
    • File documents securely and ensure easy retrieval.

    Job Requirements

    • Certificate or Diploma in Supply Chain, Stores Management, Business Administration, or related field.
    • 1–2 years’ experience in storekeeping or warehouse operations (manufacturing experience is an added advantage).
    • Basic knowledge of inventory control and stock handling.
    • Proficient in MS Excel; knowledge of ERP/stock systems is an advantage.
    • Good communication and record-keeping skills.
