    Executive Assistant

    Job Overview

    • We are looking for an Executive Assistant who will perform a variety of administrative tasks and provide support to management. Key responsibilities include managing calendars, making travel arrangements, and preparing expense reports. The role requires a well-organized, and a high level of integrity due to exposure to confidential and sensitive information. Ability to communicate (speak and write) in French & English is a key requirement for the role.

    Responsibilities of Executive Assistant

    • Devising and maintaining office systems, including data management and filing arranging travel, visas and accommodation and, occasionally, travelling with the manager to take notes or dictation at meetings or to provide general assistance during presentations
    • Screening phone calls, enquiries and requests, and handling them when appropriate
    • Meeting and greeting visitors at all levels of seniority
    • Organising and maintaining diaries and making appointments
    • Dealing with incoming email, faxes and post, often corresponding on behalf of the manager
    • Carrying out background research and presenting findings
    • Tracking daily expenses and prepare weekly, monthly, or quarterly reports.
    • Managing information for internal and external communication – memos, emails, presentations, reports
    • Screen and direct phone calls and distribute correspondence.
    • Organize and maintain the office filing system.

    Qualifications

    • A degree in English, Business, Languages, Administration or Management
    • Previous experience in Para Legal or Similar role will be an advantage
    • Excellent communication skills ( Speak and Write ) in French & English required
    • Ability to anticipate needs, think critically and offer solutions to problems

    Key Skills and Knowledge

    • Good interpersonal and communication skills (both verbally and written)
    • Outstanding organizational and time management skills.
    • Familiarity with office gadgets and applications (e.g., e-calendars and copy machines)
    • Excellent verbal and written communications skills.
    • Discretion and confidentiality.
