    Invoicing & Sales Clerk

    The Invoicing & Sales Clerk is responsible for accurately processing customer invoices, maintaining sales records, and supporting the sales and finance teams to ensure timely billing and revenue tracking. The role requires strong attention to detail, knowledge of invoicing procedures, and a customer-focused mindset to support smooth commercial operations.

    Key Responsibilities:

    • Generate and issue accurate customer invoices based on sales orders, delivery notes, or contracts.
    • Maintain up-to-date records of all sales transactions in the system.
    • Coordinate with the sales and logistics teams to verify completed deliveries and ensure all billing documentation is in order.
    • Reconcile invoicing discrepancies and resolve billing issues in a timely manner.
    • Process credit notes, returns, and adjustments as required.
    • Support monthly and quarterly sales reporting by providing invoicing data and summaries.
    • Assist in managing accounts receivable by following up on outstanding payments in coordination with the finance team.
    • Ensure compliance with tax regulations and internal invoicing policies.
    • Maintain accurate filing and retrieval systems for invoices and sales records.
    • Provide administrative support to the sales department, including preparing quotations, order confirmations, and customer statements.

    Requirements:

    • Diploma or Degree in Finance, Accounting, Business Administration, or a related field.
    • 2–3 years of proven experience in invoicing, billing, or sales support.
    • Proficiency in MS Office (especially Excel) and accounting software (e.g., QuickBooks, Sage, SAP, or similar).
    • Strong understanding of basic accounting principles and sales procedures.
    • Excellent organizational skills with a high level of accuracy and attention to detail.
    • Good interpersonal and communication skills with the ability to liaise with internal teams and external clients.
    • Strong analytical and problem-solving skills.
    • Customer service orientation with a proactive and team-driven approach.
    • Familiarity with CRM and ERP systems is an added advantage
