    Project Manager (BE SMART)

    Dimensions of Role:

    • The Project Manager will be responsible for coordinating project activities of two regions. That is, the Eastern and Oti Regions. He/she will also be responsible for bringing on board and working with other specialists and government protection agencies, (E.g. Social Welfare/Community Development, DOVVSU). Child protection and safeguarding principles of collaboration, participation, transparency, and respect for women and children’s rights will be integrated into all aspects of this role. The post-holder will be based in Ho but travel to the project locations.

     “BE SMART” Strategy and management

    • Facilitate the work planning and management of the Be Smart Project in the Oti and Eastern regions.
    • Ensure that project results are achieved and reported on through the project's Monitoring and Evaluation (M&E) system.
    • Ensure that the Be Smart project delivers high quality programming that is compliant with best practice as outlined in the Be Smart project proposal, Plan International Ghana Country Strategic and relevant Ghana government guidelines and policies.
    • Manage partnership and relationship with relevant stakeholders in project planning, implementation, monitoring, evaluation and reporting for effective linkages.
    • Actively engage with stakeholders and government agencies involved in Be Smart implementation and formal protection agencies in Ghana in order to promote collaborative planning towards long term sustainable solutions.
    • Support in engaging local partners for social mobilization, group formation and training under the Be Smart project.
    • Facilitate and organize review meetings with the regional and national offices with stakeholders in collaboration with other relevant organisations.
    • Liaise with other Technical Specialists and other project staff to ensure effective integration of Plan programmes.
    • Ensure Gender is mainstreamed in all Be Smart related activities and maintain gender sensitivity towards staff and Plan associates to avoid gender discrimination.
    • Ensure Safeguarding and Child Protection is mainstreamed in all Be Smart related activities.
    • Manage the financial, logistical and reporting aspects of Be Smart partnership assuring compliance with Plan and donor reporting requirements.
    • Actively participate in all network meetings (both local and international) to learn and share best practices for management decision making.

    Partnership and Networking

    • Establish and maintain productive collaborative relationships primarily with the relevant agencies and stakeholders (GES, GHS, DOVVSU, SW/CD, CHRAJ)
    • Organize and lead technical and coordination meetings between all stakeholders.
    • Keep supervisors and other project staff informed of any relevant anticipated changes/developments.

    Monitoring, Evaluation and Reporting

    • In collaboration with the Monitoring and Evaluation Coordinator, ensure ongoing monitoring and timely reporting of the project against project goals and planned results.
    • In conjunction with the relevant persons, prepare Terms of Reference (TOR) for baseline and evaluation of the project and organise evaluations and learning reviews with consultants hired for the purpose.
    • Compile, analyse, and disseminate, on a regular basis, reports to Country Management Team on the Be Smart project.
    • Prepare and submit quality and timely periodic donor required reports to BDM.
    • Work closely with the finance and grant departments to review and assess monthly accruals and disbursements to ensure compliance with donor guidelines.
    • Monitor and update the project risk register regularly and manage them.

    Others:

    • Manage the performance of direct reports.
    • Perform any other duties that may be assigned from time to time.

    Indicators of success:

    • Effective working relationship exists with the agency partners and other stakeholders.
    • Timely delivery of quality project activities.
    • Quality and timely periodic reporting (financial and narrative).
    • Quality documentation of best practices on the Be Smart learning themes.
    • Documentation of best practices of Be Smart activities.
    • An effective monitoring system to track performance of local partners.

    • Dealing with Problems:

    Complexity of problems handled & the degree of investigation, analysis, & creative thinking required to solve them

    • Experience with in depth analysis of current issues on SGBV and providing innovative solutions.
    • Demonstrated skills in dealing with the complexity of working with international and local NGO partners.
    • Demonstrated ability to deal with comprehensive and demanding requirements of the donor.
    • Effective decision-making regarding the most appropriate, effective and efficient approaches to ensure quality financial management, ensuring maximum alignment with donor requirements.
    • Works with minimum supervision
    • Analyse issues for decision making to strengthen and support delivery of Be Smart programs that meets organizational requirements and refer to a higher manager for approval.
    • Ability to develop and implement strategies to minimize project risks.

    Communications and Working Relationships:

    • Working contacts inside and outside the organization; include the purpose and level (high, medium, low) of the contact.

    Internal:

    • Country Office (COs) and Project Areas: The position will collaborate with Programmes and Business Development and project staff including other Project Managers, technical specialists, M&E and finance staff at CO. (high level).
    • There is a medium contact with community members, children and other stakeholders to develop and implement project activities ( Medium)

    External:

    • Plan International Ghana, National Office
    • Maintains high contact with Partner staff working on the Be Smart project activities in Oti and Eastern (high level)

    Knowledge, Skills, Behaviours, and Experience Required to Achieve Role's Objectives: Gained through education, training, & experience.

    Knowledge and Experience:

    • University degree in public health and at least 5years experience in a health and protection related field.
    • At least 5years, experience working in an international organization similar to Plan International.
    • Strong understanding and proven application of management.
    • A proven passion for innovation and a commitment to protection focused programming as well as familiarity with current trends on SGBV.
    • Fluency in English
    • A successful track record in supervising, designing, coordinating, managing and implementing donor-funded projects.
    • Proven commitment to mainstream gender and equality issues.
    • Excellent communication skills, both written and verbal and the ability to use different communication media effectively, including email, telephone, Teams, Zoom, and written correspondence.
    • Experience in designing integrated participatory strategies, community mobilization and capacity development.

    Organisational Learning Specialist- Secondment

    The Opportunity

    • As the Organisational Learning Spec­­ialist you will contribute to building individual, team, organisational and partner capability and knowledge to meet current and strategic requirements. You will drive the appropriate culture, behaviours, skills and performance by leveraging technology and creating a learning culture to embed capability development. In this role you will have a particular focus on learning for Humanitarian/Disaster Risk Management (DRM) (80%) and Project Management skills (20%) (Project DPro) across Plan International.
    • You will create a culture and environment for individuals to learn and grow by ensuring a learning design and delivery that provides a blend of learning approaches, including face-to-face, social collaborative and coaching, as well as the application of motivational and behavioural science. This role has global reach, providing focused learning and development plans for key stakeholders and receivers of change.

    The Individual

    • We are looking to recruit an ambitious individual with experience in the Humanitarian/Disaster Risk Management sector who is ready to engage with a global team. With the ability to create a learning culture that supports continuing professional development, you will also be able to engage with stakeholders to define capability needs and their implication for learning.
    • Demonstrable project management skills, with the know-how to use design principles to choose the right face-to-face and digital approach as part of a learning blend. You will also have a working level of competency in MS Office, Blackboard Collaborate LMS’s and CMS’s (ideally Moodle).
    • To be successful in this role you will be well organised with the ability to manage multiple priorities. You will work effectively and inclusively with a range of people, both within and outside the organisation, and you will be a strong communicator in English, with knowledge of French and/or Spanish being desirable.

    Executive Assistant

    The Opportunity

    • Provide administrative support to the Country Director and Senior Leadership Team in the CO.
    • Manage over-all schedule of Plan International Ghana, protocol with international and national authorities, organization of the international visits, and organization of CO-level events. As a learning objective, the post holder will be exposed to other basic administrative tasks including but not limited to procurement, inventory etc

    Dimensions of the Role

    • The post holder will not have any direct report
    • The post holder will not manage a specific budget assigned to him/her, but will indirectly manage the budget in relation to the tasks assigned to her/him.
    • The post holder will project the professional image of Plan to the external partners.  
    • The post holder will likely be called upon for different committees at CO level.

    Accountabilities

    • To ensure that the Country Director and Senior Leadership have the appropriate level of administrative and other support as and when required.
    • To organize the Country Office Management Team meetings (Preparation of the schedule, agenda, minutes, and the follow up of action points from meetings)
    • To manage a proper filing system for incoming and outgoing mails and other documents for the Country Director’s Office.
    • To manage the work appointments of the core management members – especially CD which reflect the priority of the organization.
    • To manage the overall monthly schedule of Plan International Ghana that will inform the maximization of the logistics. 
    • To support the management of international visits and national-level events held at CO level.
    • Acting as a single point of contact for internal clients wishing to meet with Director.
    • Host guests and strategic partners.
    • Organising and book meeting rooms, refreshments for both internal & external engagements for Senior Leadership Team.
    • Produce itineraries for travel and off-site meetings.
    • Liaise with Admin Team to coordinate and book travel arrangements including flights, hotels, visas etc for the Country Director. Managing travel and other schedule of the CMT members and deal with the competing priorities.
    • Screening telephone calls, enquiries and requests, and handling them when appropriate.
    • Handle confidential and sensitive information professionally.
    • Arrange, manage and maintain Director’s complex calendar ensuring appointments are scheduled and prepared for in advance.
    • Assist the Country Director with drafting, correspondence and the preparation of presentations.
    • Preparing and producing reports on behalf of the Director.

    Technical expertise, skills, and knowledge

    • First Degree in Management Studies, Administration or any related field and at least 3 years of experience in a similar role.
    • Knowledge of administrative procedures and systems
    • Proficient computer skills and in-depth knowledge of relevant software such as MS Office suite.

    Programme Support and Administration Coordinator

    The Opportunity

    • Plan International’s global strategy applies a full spectrum approach where Disaster Risk Management (DRM)/Humanitarian is an integral part of everything the organization does for children and girls, especially in fragile settings. A new DRM vision was developed in 2018 highlighting Plan’s ambition of becoming a global leader and the NGO partner of choice for promoting gender equality and protecting girls’ rights in disaster and conflict settings, working at the nexus of development and humanitarian efforts.
    • As the Programme Support and Administration Coordinator you will be responsible for overseeing administrative, logistical, and financial/grant oversight support, as well as providing  targeted programmatic support depending on the need.
    • You bring previous administration experience with the ability to deliver to tight deadlines and on multiple priorities, with excellent attention to detail.
    • Excellent communication skills, fluent written and spoken English and the ability to summarise technical issues in simple, accessible language is essential.
    • Knowledge of the humanitarian NGO sector is key and experience in a humanitarian response would be advantageous.
