    Grants, Marketing Communications Specialist

    Key Responsibilities:

    • Support and the execution of a results-driven, multi-platform communications strategy to improve World Vision Ghana technical brand and visibility to preposition World Vision within donor community
    • Facilitate creative communication concepts and design
    • Support marketing products and digital strategy, presentations, briefings, etc. that will support Resource Mobilisation objectives
    • Support the planning and implementation of direct marketing approaches including targeting, personalisation of messages and measurability; data analysis, donor profiling and segmentation
    • Work closely with World Vision Ghana’s Communications unit to implement online marketing activities including social media engagements.
    • Tracking the effectiveness of various campaigns, events and donor engagements and provide regular updates to Supervisor
    • Work with the wider Communications team to identify content opportunities and produce the relevant materials
    • Identify digital trends and evaluate emerging technologies wherever possible to help improve World Vision Ghana’s reach and impact
    • Participate in donor engagements/conferences, meetings and contribute ideation sessions
    • Support the Resource Acquisition and Management team in all aspects of the team’s work as required

    Resource Acquisition

    • Work with Local Resource Mobilisation Specialist to serve as a liaison between local donors, granting agencies in the budgeting and preparation of grant proposals; researches local donor requirements
    • Support specialized databases and systems for recording and tracking grant proposals, awards, and related statistical information; creates and distributes standard and special reports, studies, summaries, and analyses, as required
    • Works within a solicitation plan to build new and nurture current relationships through a series of personal visits, meetings, events and follow up stewardship practices
    • Contribute to the mobilisation of resources from Multilateral donors, Corporates, Foundations and Trust
    • Regularly support the review of project evaluations, lessons learnt from internal reports and from other NGOs and donors.
    • Apply innovations and best practices in developing winnable proposal

    Capacity Building

    • Support the capacity development of programme staff in resource acquisition and management
    • Contribute to the capacity building for staff, the realisation of children’s rights advocacy and other influencing activities
    • Develop WVG projects portfolio showing project results/best practices for presentation at Donor Conferences and other Project Events.
    • Identify and share best practices of implementation of marketing communication in resource acquisition
    • Field-level monitoring and support
    • Participate in field-level review meetings, visit field project sites, provide hands-on support to project implementation teams as needed    
    • Prepare monthly reports on the status and results of projects implementation

    Other Responsibilities

    Essential Qualifications:  Education/knowledge/technical skills and experience

    • Master’s degree in Social Sciences, Marketing and Communication, Development Studies/ or related discipline
    • 4-year hands-on experience in writing and managing proposals for corporate partners and other donors in the context of an international agency; a track record of successful proposals
    • Have an excellent understanding of how to use marketing tools and techniques to increase the visibility, profile and reputation of an organisation
    • Developing verbal and written communications skills; a capable writer
    • Demonstrated ability to collaborate with others in and outside his or her own team

    Preferred/desirable skills and experience

    • A strategic and creative thinker with proven experience of working on diverse and wide-ranging communication strategies including all forms of media
    • Experience of developing and managing strong and complex relationships across programmes as part of a centralised function and externally with multiple stakeholders.
    • Experience of working in international development
    • Experience of managing of websites
    • Experience of measuring the impact of communications products and changing strategies as a result of the findings

    Working environment / conditions:

    • There is an expectation that there will be occasional out of hours travel and external/internal events

    People and Culture Officer

    Key Outputs/Responsibilities

    Employee Relations

    • Advises and counsels the Region Team and AP/Project managers on people related issues.
    • Provide interpretation & application of policies, procedures, terms and conditions of service, etc. to all employees.
    • Support the Region Operations Team (APs and Projects) in handling and managing employee relations matters, behaviors and issues in close coordination with P&C National Office managers. – Immediately Report on any Employee Relations incident as per the ER protocols

    Reporting

    • Submit monthly, semi-annual and annual Region & CLUSTER People & Culture Report.
    • Submit a quarterly report on the administration and management of the internship / national services personnel programs within their respective areas of operations to the P&C Manager.

    Learning & Development 

    • Collate learning and development needs within the Region and CLUSTERs for incorporation into the annual learning & development operational plan.
    • Monitor and report staff who have participated and benefitted from the annual training plan for P&C Manager records.

    Performance Management

    • Manage the National Office & CLUSTER/Project staff employee appraisal process and ensure that the performance of staff is monitored and documented.
    • Provide support to the CLUSTER/Project Managers and staff on the preparation of mid-term and annual performance appraisals.
    • Submit mid-term and end of appraisal reports to P&C Officer.
    • Adhere to WVI standard Performance Management timelines.
    • Provide the required coaching and support for new hires and ensure probationary reviews are completed on a timely manner and results and recommendations are communicated properly to the concerned parties.
    • Work with
    • CLUSTER/Project staff to complete contract appraisals for contract staff and support contract renewal/separation processes in close coordination and within the guidelines and approvals of the ROM and P&C Director.
    • Employee Welfare
    • Liaise with CLUSTER/Projects in the administration of various types of leaves as: annual and sick leave and ensure all leaves are properly kept within Our People system.
    • Support staff welfare and social activities at the Region & CLUSTER/Project level.
    • Support the implementation of Employee Engagement activities as per the Our Voice Action Plan and ensure staff participation and completion of the annual Staff Engagement and Pulse Check Survey.
    • Ensure proper medical support and guidance is provided to field staff and their dependents.

    Risk Management and Controls

    • Support Region management and CLUSTER managers to ensure full compliance with Child protection policy.
    • Ensure employee files are accurate and well managed and always kept under lock and key.
    • Responsible for People & Culture information management system (PCIS) at the Region & CLUSTERs. Ensure data is always accurate and up –to-date.
    • Ensure proper implementation of P&C field audit findings.
    • Follow up and ensure that all P&C internal controls are applied within their respective area of responsibility.

    Networking

    • Promote effective networks within WV through effective communication, relationships and twin citizenship.
    • Liaise properly with external agencies such as but not limited to social security unit, labor office, tax office, and other local authorities. Ensure they reflect the right organizational image for all stakeholders.

    Leadership/ Strategic Management

    • Adhere to WVI key policy documents – mission, core values, and covenant of partnership.
    • Ensure effective implementation of people & culture initiatives at the Region & CLUSTERs in close coordination with P&C Director.
    • Participate in annual and quarter P&C planning meetings and take part in designing the annual business plan.
    • Induction and Orientation
    • Ensure new hires are properly oriented at the beginning of their assignment and conduct annual orientation update to existing staff at the Region and CLUSTER level.
    • Internship
    • Handle and manage internship / national service personnel programs and assignments in their respective Regions and CLUSTERs as per WV Ghana policy.
    • Ensure the hiring and selection of interns / national service personnel are within the established guidelines and selection criteria and the request has been approved by the CLUSTER Manager and ROM.
    • Ensure the Terms of Reference (TOR) is properly drafted and communicated with the interns /NSP so that both parties will have a clear understanding of the roles and responsibilities as well as the expected outcomes.
    • Compensation
    • Ensure timely monthly pay slips are shared, signed and properly filed.
    • Support ROM and CLUSTER Managers in addressing issues related to WV Total Rewards Philosophy (Compensation and Benefits).
    • Consult and closely coordinate with the P&C Director on any advice / recommendation when it comes to staff salaries and benefits.

    Workforce Planning and Recruitment

    • Support the CLUSTER and Region Managers in conducting annual demand / supply analysis and workforce planning highlighting the current workforce composition, retirees, rotations, etc. in close coordination and as per the advice and recommendations of the P&CD.
    • Support the Region Operations Team (CLUSTERs and Projects) in the selection and hiring of Drivers and Security Staff, and make sure the interview report is submitted to the P&C Manager – Recruitment within the next 24 hours as per the recruitment guidelines.

     Child Protection

    • Ensure Child Protection Policy is compiled properly and in the file of each employee.
    • Ensure staff  are familiar with the  Child Protection incident reporting mechanism
    • Ensure all staff in their zone have received the required Child Protection Awareness Training and a refresher workshop is given at least once every year to all the Region  / CLUSTERs team
    • Champion Child Safe Organization Practices (i.e. ensure children are not hired to execute WV projects, report any case of child abuse, etc…)

    Qualifications:  Education/Knowledge/Technical Skills and Experience

    Knowledge, Skills and Abilities:

    • Bachelor degree in human resources management, business administration, general management or any other related field.
    • 3 years of experience in human resources position
    • Strong interpersonal skills with an ability to take and lead new initiatives
    • Good communications and mediations skills
    • Good organizational skills with an ability to set priorities and meeting the required deadlines.
    • Team player with a caring personality to adhere to staff care needs
    • Ability to demonstrate life/work balance and encourage others to do so
    • Ability to advise and coach others, when necessary.
    • Fluency in English and working knowledge of French, while mastering local languages is a plus.
