    Project Coordinator

    Job Summary

    •  The Project Coordinator will support the Project Manager to deliver GWS-specific work packages.
    •  The candidate must have strong field experience and skills in relevant aspects of conservation and sustainable land-use management and/ or sustainable agriculture, and have a strong proven record of coordinating conservation projects, with requisite operational, project, grant and financial management skills.

    Job Title: Project Coordinator, SIBCI
    Reporting to: Project Manager

    Key Relationships:

    •  The post-holder is expected to adopt a collaborative approach and will work closely with GWS colleagues in Damongo and Accra, Wildlife Division staff, national partners and other stakeholders on all aspects of his/her role.
    •  Key external relationships include Wildlife Division of the Forestry Commission, National Development Planning Commission, Regional Coordinating Council, District Assemblies District Assemblies (West Gonja/Gonja, North/Mamprusi-Muaduri/Sawla-Tuna-Kalba and Wa East), Environmental Protection Agency, Ministry of Agriculture,
    •  NGOs and BirdLife Partners in Burkina Faso and Cote d’Ivoire.
    •  Responsible for: Coordination of all work packages under the GWS component of the project.


    General responsibilities:

    •  Manage the effective implementation of the SIBCI Project, coordinating and supporting the inputs from consultants, field and Partner staff.
    •  Represent the SIBCI project in the Northern/Savannah and other regions, and manage the project team based in Damongo/Accra as directed by the Project Manager.


    Project Management
    Project Team Management:

    •  Provide line management to project staff under the Ghana Wildlife Society component of the Project.
    •  Encourage a culture of excellent communication and collaboration among project team members.

    Project Planning & Implementation:

    •  Coordinate and lead participatory development of quarterly and annual workplans.
    •  Work closely with Support Consultants to deliver specialized services within the project through development of TORs and review of reports.
    •  Work hand in hand with the M&E Specialist to manage and develop processes for the effective monitoring and evaluation of the project, ensuring timely adaptation as required to meet project objectives and timelines, and support the dissemination of lessons learnt.
    •  Ensure that excellent communication is maintained with the project team, and GWS Secretariat.
    •  Prepare project narrative and financial reports for the GWS Component, with support from Project Accountant and ensure timely and accurate technical, operational and donor and institutional reporting.

    Personal skills:

    •  Project management skills with proven experience in implementation of large-scale conservation/sustainable agriculture projects.
    •  Excellent leadership and people management skills, with ability to motivate and manage individuals
    • to achieve excellence.
    •  Proven grant financial and budget management skills.
    •  Strong technical skills relating to conservation/sustainable agriculture in conservation landscapes
    •  Proven ability to collaborate effectively with partner organisations, including governments, NGOs,
    • community groups and businesses.
    •  Strong verbal communication and diplomacy skills, with ability to present, negotiate and persuade at all levels with confidence and credibility, including supporting community engagement and relations with technical experts and government.
    •  Strong written communication skills, including report and proposal writing.

    Qualification Required & Experience

    •  A Masters’ degree or equivalent qualification in a conservation/natural resource management or relevant social/biological science field.
    •  Relevant experience of coordinating conservation projects (at least €100K).
    •  A strong technical background and understanding of a range of conservation issues, particularly
    • including protected area management, sustainable agriculture in conservation landscapes and conservation financing.
    •  Experience working with partners, government institutions and communities.

    Monitoring and Evaluation Specialist

    Job Summary

    •  S/he will provide strategic and technical leadership for the development and implementation of the monitoring and evaluation policies, strategies and frameworks.
    •  The Monitoring and Evaluation (M&E) Specialist will be responsible for managing the M&E activities for the project. S/he will be responsible for setting up the SIBCI’s performance monitoring and evaluation system, collecting, tracking and analysing data, and reporting to the European Union.

    Responsible for: guiding the overall monitoring and evaluation activities within the SIBCI Project and GWS


    Monitoring and Evaluation:

    •  Develop methodology and tools to assess the reliability and validity of project performance indicators.
    •  Continually refine the approach proposed in the evaluation design based on new data.
    •  Build capacity through participatory workshops on how to conduct M&E in the field
    •  Track performance on established output, outcome and impact indicators to measure achievement and track progress towards intermediate results and overall project objectives.
    •  Proactively inform and advise Management on findings coming from the project performance reviews and assure timely coordination and delivery of the relevant reports.

    Personal skills:

    •  Ability to draw out the information collected to deliver relevant knowledge-sharing products to stakeholders.
    •  Strong organizational skills and focus on details.
    •  Ability to multi-task and meet strict deadlines.
    •  Proficiency in statistical analysis.

    Qualification Required & Experience

    •  First degree in Project Management, Economics, Statistics, Wildlife and Range Management,
    • Natural Resources Management or other relevant development field.
    •  A minimum of 3 years of progressively responsible professional experience in a performance monitoring and/or evaluation role with an international development organization.
    •  Experience with the logical framework approach to monitoring as well as quantitative, qualitative and participatory monitoring approaches.

    Project Driver

    The Driver will ensure that SIBCI Vehicle(s) are operated safely and in accordance with GWS Policies and Procedures as well as Ghanaian law and to drive GWS staff as and when required.


    Job Title: Project Driver
    Reporting to: Transport Officer
    Duty Post: Damongo

    Key Relationships:

    •  Transport Officer, Project Manager, Project Coordinator, M&E Specialist, Consultants, Executive Director, Accounts Officer, Executive Director, Communication Specialist.


    Responsible for: Safe operation and maintenance of the designated GWS Vehicle(s).

    •  Provide driving services for SIBCI staff as instructed by the Project Manager
    •  Perform routine basic maintenance checks regularly (e.g. oil, coolant, water, tyre pressure, battery
    • acid level).
    •  Maintain a daily log of all trips, mileage and fuel consumption for monthly checking by line manager
    •  Complete information required for monthly vehicle reports to be submitted to line manager.
    •  Ensuring that all major incidents are reported to the Project Manager immediately.
    •  Ensuring that vehicles are taken to the garage in good time when faults emerge.
    •  Ensure that vehicles are clean at all times.
    •  Perform any other duties as instructed by line manager.


    Personal skills:

    •  Good verbal and written communication skills.
    •  Excellent writing skills with the ability to tailor information for diverse audiences.
    •  Attention to detail.
    •  High level of emotional intelligence.


    Qualification Required & Experience

    •  West African Senior School Certificate or any analogous qualification.

    Finance and Administrative Officer

    Job Summary

    •  The Finance & Administrative Officer will have oversight responsibility over the performance of various duties categorized by either financial or administrative support.
    •  Administrative responsibilities include file management, correspondence drafting, funding program support, and ensuring supplies to the office are managed and maintained.
    •  Administrative duties also include developing and maintaining administrative systems and performing clerical duties, such as word processing, meeting minute taking, scanning and photocopying.


    Job Title: Finance and Administrative Officer
    Reporting to: Executive Director
    Duty Post: Accra

    Key Relationships: The post-holder will work closely with GWS colleagues in Accra, the Executive Director and provide support to the GWS Office at Damongo Office in the Northern Region.

    Responsible for: Performance of various duties categorized by either financial or administrative support.

    Administration:

    •  General administrative support to the SIBCI Project.
    •  Maintain project and donor documentation records, including project, staff and consultants’
    • contracts.
    •  Maintain schedules and details of project financial transfers and other project related payments
    • required and their due dates.
    •  Support the Project Manager to maintain a schedule of internal and external reporting deadlines,
    • and ensuring that the donor reporting requirements of project related contracts are fulfilled in a
    • timely manner, and that all necessary information required for project reports is received from
    • partners in a timely manner.
    •  Support the preparation of contracts for consultants and liaising with consultants and partners on specific administrative requirements.
    •  Support Project staff in the preparation and implementation of project evaluations and audits.
    •  Liaise with the Project Manager to ensure that project and other programme staff comply with the prescribed administrative systems and requirements as set out by GWS.
    •  Support GWS on annual strategy review meetings and quarterly programmes meetings.
    •  Arrange translations of Project publications when necessary. File systems development and maintenance.
    •  Word processing, minute taking, photocopying, scanning, etc.
    •  Ensure effective office and kitchen supply management and inventory controls.


    Financial:

    •  Develop and maintain spreadsheets and reports for tracking expenditure and reporting to the European Union and other donors.
    •  Ensure that project expenditures are adequately tracked in accordance with the agreed project budgets.
    •  Petty cash management and custody.
    •  Support the Project Manager to prepare financial reports as required by the EU and other donors or for internal monitoring.
    •  Prepare and monitor requests for transfers of funds to project implementing partners.
    •  Keep relevant programme staff informed of incoming and outgoing funds.
    •  ake charge of coding invoices and other project expenditures.
    •  Take charge of reconciling project expenditure with organisational accounts.

    Personal skills:

    •  Working knowledge of the Tally ERP system or integrated computer systems.
    •  Practical knowledge of computer systems, including internet navigation and various Microsoft Office applications especially Excel.
    •  Be able to work under pressure and attend to any ad hoc functions as may be required.
    •  Be self-driven and able to work within tight deadlines.


    Qualification Required & Experience

    •  A Bachelor’s/Masters’ degree or equivalent qualification in Business Administration or Finance.
    •  Relevant experience of coordinating conservation projects (at least Euros 100K).
    •  A strong technical background and understanding of a range of conservation issues, particularly including protected area management, sustainable agriculture in conservation landscapes, conservation financing.
    •  Experience working with partners, government institutions and communities.

    Communication Specialist

    The Communication Specialist will be in charge of promoting the visibility and value of SIBCI and EU funding in accordance with the visibility requirements of the European Union. The Communications Specialist will support the project management team to create, administer and organize all project communication activities in cooperation with other project staff.

    Job Summary

    •  Lead to manage the brand of SIBCI and the Ghana Wildlife Society and create content for daily maintenance of SIBCI webpages and that of GWS.
    •  Create, adapt, improve and optimize web communication for GWS
    •  Develop and maintain social media profiles and quality content on GWS blog, Twitter, Facebook, Instagram, YouTube and LinkedIn to expand GWS’ digital presence in the media space.
    •  Develop and maintain media partnerships and press relations to promote conservation research and outreach work of the Society.
    •  Support the preparation and drafting of high-level public communications (email, social media, blogs, etc.) including email campaign development and delivery.
    •  Facilitate content creation for real-time audience engagement on multiple social media platforms.
    •  Monitor online analytics and develop social-media user guides for GWS staff at all levels.
    •  Lead the development of materials such as infographics, videos and online posters in consultation with other SIBCI staff and other programme staff.
    •  Develop guidelines for interviewing, photographing and reporting on in-the-field projects.
    •  Perform any other related task as directed by the Project Manager/Executive Director.


    Personal skills:

    •  The role requires a high standard of verbal and written communication skills and the ability to
    • deliver high quality presentation materials.

    Qualification Required & Experience

    •  First degree in a relevant subject such as Journalism, Communication for Development (C4D) Communications, Public Relations or Marketing.
    •  A minimum of 2 years of proven record of developing and implementing internal communication
    • strategies within growing organizations.
    •  Three years of work experience in conservation, communication for social change or public relations with at least 2 years project management experience.

    Accounts Officer

    Job Summary

    •  The role entails performing day-to-day financial accounting tasks including, processing payments, filing and document retrieval, providing data for report preparation and data input for the SIBCI Project.
    •  The candidate will support in budgeting, financial accounting and reporting of assigned grants.

    Job Title: Accounts Officer
    Reporting to: Finance & Administrative Officer / Project Manager
    Duty Post: Damongo / Accra

    Key Relationships: The Project Manager, Project Coordinator, M&E Specialist, Communication Specialist, Consultants, Executive Director.

    Responsible for: maintaining sound financial and accounting systems and controls for GWS.


    Accounting:

    •  Ensure that all financial transactions are carried out and recorded in accordance with GWS financial
    • policies and procedures.
    •  Prepare cheques and on-line payments for review by the Finance and Administrative Officer manager in compliance with GWS procedures and policies.
    •  Preparation and prompt settlement of statutory and other payroll deductions i.e. PAYE, SNNIT, Withholding tax, etc.
    •  Prepare GWS monthly accounts for review by the Finance & Admin Officer
    •  Cash flow management and bank reconciliation for all GWS accounts
    •  Maintain banking relationship with GWS Bankers.
    •  Ensure proper book of accounts are kept and maintain a sound archiving (filing and retrieval) system.
    •  Prepare various supporting schedules to the financial statements to facilitate annual audit and assist auditors during audits.
    •  Prepare end of year accruals and monthly reconciliation of the accruals and make journals where necessary.
    •  Prepare payroll journal and monthly reconciliation of the payroll control code.
    •  Perform any other reasonable duty assigned by management.


    Personal skills:

    •  Have working knowledge of the Tally ERP system or integrated computer systems.
    •  Have practical knowledge of computer systems, including internet navigation and various Microsoft
